IWC Panchakarma Refund & Cancellation Policies
Our goal is to provide quality services to all our clients. Late payments, late arrivals, and cancellations inconvenience not only our providers and technicians, but can affect other clients as well. Please be aware of our policies regarding deposits, cancellations and change of treatments.
Deposit & Full Balance Due
All clients are required to provide a 1/3 deposit at the time of scheduling. The remaining 2/3 balance is due prior to treatments beginning. There are no refunds issued once treatment starts.
Treatment Cancellation
When you book your services, you are holding a space on our calendar that is no longer available to our other clients. To be respectful of your fellow clients and our staff commitments to your scheduled treatments, please call our scheduling office as soon as you know you will not be able to make your appointment.
If cancellation is necessary, we require that you call at least 8 weeks in advance. Your advanced notice will allow another client access to that appointment time and avoid complications with our staffing commitments.
Late Cancellations
A cancellation is considered late when services are cancelled less than 8 weeks before the scheduled time. In this case, we retain the deposit and refund or void your remaining balance due. If you cancel less than 8 weeks prior to your treatment, you are ineligible for a refund, but you can use your deposit to reschedule your treatment within 3 months of cancellation. Per medical review, you may be eligible for an extension up to 6 months, as necessary.
If you need to cancel less than 3 weeks prior to your treatment, you will lose your deposit and will not be able to apply it to any future treatments. Per medical review, you may be eligible to use your deposit towards rescheduling.
Special Policy for Women
If a client’s menstrual cycle begins during treatment, IWC will keep the current payments to be applied towards future bookings scheduled within 90 days. If the client does not reschedule in 90 days, we refund 2/3 payment and retain the 1/3 deposit fee. If a client’s menstrual cycle occurs again with the second rescheduling, IWC will reimburse partial payment and retain a 1/3 cancellation fee.
Covid Policies
If a client receives a positive covid test prior to or during treatment a 50% refund will be issued for any subsequently canceled treatments. For more on our covid policies, please review the IWC Panchakarma Pandemic Agreement form in your Charm patient portal.
Cancelled Basti Treatment
On occasion a client’s basti treatment may be cancelled due to a medical condition. In this case, there will be no refund issued on discounted treatment rates. A $50 refund will be issued for clients paying the full $350 treatment rates.
Furthermore, if the Vaidya reviews a clients’ case and determines treatments should follow an Abhyanga and Shirodhara protocol and not include a basti with a full Panchakarma program, there will be no refund issued.
Surgery and High Blood Pressure Policies
If a client has had surgery or intensive care treatments within 6 months, they will not be allowed to schedule services at our clinic.
If a client has blood pressure above 145/94, they will not be able to receive treatment. If levels are above 140/80, the client case will be reviewed by our medical department and tested daily. If treatments are cancelled due to high blood pressure, there is a 50% refund on all remaining treatments.
Failure to Complete Health History Questionnaires
If a client fails to complete their PK Health History Questionnaires 21 days or less before beginning treatment, they will have the option to downgrade their treatment to Day Spa. However, there will be a $100 penalty. If the client does not want to downgrade to Day Spa, they will lose their deposit and will not be able to use it towards rescheduling.
