Panchakarma Scheduling, Refund & Cancellation Policies
Scheduling Treatment and Submitting your Health History Questionnaire
- Treatments must be scheduled at least 6 weeks in advance.
- Health History Questionnaires (HHQ) must be received at least 5 weeks (35 days) in advance of treatment
Service fees for missing above deadlines
There is a $75 service fee for missing either of the above deadlines and your home cleansing and treatment programs may need to be adjusted
Exceptions to above two policies and service fees
a) You completed a panchakarma program at our clinic less than 7 months ago
b) You are over 65
If you meet either of the above two conditions you may schedule 4 weeks in advance and submit your Health History Questionnaire 21 days in advance before the $75 service fees are charged.
Deposit & Full Balance Due
All clients are required to provide a 50% deposit at the time of scheduling. The remaining 50% balance is due prior to treatments beginning. There are no refunds issued once treatment starts.
Treatment Cancellation
When you book your services, you are holding a space on our calendar that is no longer available to our other clients. To be respectful of your fellow clients and our staff commitments to your scheduled treatments, please call our scheduling office as soon as you know you will not be able to make your appointment.
If cancellation is necessary, we require that you call at least 8 weeks in advance. Your advanced notice will allow another client access to that appointment time and avoid complications with our staffing commitments.
Late Cancellations
1. Cancellations greater then 8 weeks before your treatment begins – Full refund
2. Cancellations 8-5 weeks before your treatment begins – The 50% deposit is retained and may be applied to treatment within 6 months of cancellation.
3. Cancellation is considered late when services are cancelled less than 5 weeks before the treatment start date. In this case, we retain the 50% deposit and refund or void your remaining balance due.
Special Policy for Women
If a client’s menstrual cycle begins during treatment, IWC will keep the current payments and apply them towards a future booking scheduled within 6 months. If the client does not reschedule within 6 months there is no refund.
Covid Policies
If a client receives a positive covid test prior to or during treatment a 50% refund will be issued for any subsequently canceled treatments.
Cancelled Basti Treatment
On occasion a client’s basti treatment may be cancelled due to a medical condition. In this case, there will be no refund issued on discounted treatment rates. A $50 refund will be issued for clients paying the full $350 treatment rates.
Surgery and High Blood Pressure Policies
If a client has had surgery or intensive care treatments within 6 months, they will not be allowed to schedule services at our clinic.
If a client has blood pressure above 145/94, they will not be able to receive treatment. If levels are above 140/80, the client case will be reviewed by our medical department and tested daily. If treatments are cancelled due to high blood pressure, there is a 50% refund on all remaining treatments.
Failure to Complete Health History Questionnaires
If a client fails to complete their PK Health History Questionnaires (HHQ) 28 days in advance we may not be able to write a long enough home prep program to properly prepare for a full treatment program.
Late submissions of the HHQ will incur a $100 additional fee. Treatment programs may have to be adjusted as preparation for full, intensive panchakarma may not be able to be completed.
